How to increase the top and bottom line
Companies that bill hourly can significantly increase their income by structuring the training of their new employees.
If a company that plans to employ 50 people during 2017 manages to establish routines that help place new employees into billable work two days earlier, it will generate an additional 750 billable hours for 2017. With an hourly rate of NOK 1,000 excl. VAT, this corresponds to 750,000 kroner in increased sales revenue, which also appears on the company’s bottom line.
If the training can also be done online this reduces costs for instructors, travel, food and lodging. In some cases it is the operating company that bears these costs. In other cases the supplier or contractor must bear them.
For many companies costs for instructors, travel, food and lodging are often ten times the actual course fee, and this is one of the reasons why many companies choose e-learning instead of classroom courses.

But how do you avoid cheating?
In the industry there are strict requirements for courses and competence. For example operating companies often set competence requirements before execution of work.
Mintra Group has received feedback from customers that they do not want to use e-learning because they cannot ensure that the right person is taking the course. Mintra Group has developed new technology to address this.
“We now offer our customers a solution that verifies course participants. This way companies have an assurance that the right person has attended and passed the course. This we call Proctoring.” explains Nina Johannessen, Trainingportal Product Specialist at Mintra Group.
How does Proctoring work?
Proctoring performs facial recognition of participants using the web camera on a computer.
At the start of the course a picture of the participant will be taken with their approval. Thereafter photos will be continuously taken throughout the entire course.
“For companies that use Mintra Group’s courses this is a unique guarantee that the employee that should receive the competence required for a certain position is the person who has completed the course and exam.” explains Nina Johannessen.
A company that develops its employees – develops itself
As with Mintra Group’s focus on improving competence at other companies, they are also conscious of their own development. Mintra Group wants to be a leader in e-learning technology.
“Today it is facial recognition, but tomorrow it might be appropriate to use fingerprints, voice recognition or other types of technology. Proctoring is undoubtedly an innovative solution to identify course participants over the Internet and make e-learning an increasingly applied medium for teaching.” says Nina Johannessen.

Cost focus makes us competitive
In recent years the industry has experienced enormous restructuring where the focus on costs has intensified.
For many it is now absolutely necessary to choose e-learning for part of training. Companies can no longer afford to fly employees to courses with the associated hotel accommodation. To be competitive, one must have good control over the company’s costs.
“On Trainingportal we now have more than one enrolment every minute, around the clock, year-round. This shows that many now have now systemized their training. We are proud to be helping make our customers competitive domestically and internationally.” says Nina Johannessen.

Lemminkäinen’s viktigste prioritet er sikkerhet

– Lemminkäinen’s top priority is safety. Working with Mintra Group and implementing Trainingportal as our Competence Management System (CMS) helps us increase awareness, build a safety culture and get every employee home safe and sound every day, says Thomas Holmsen, HSE and Quality Manager for Lemminkäinen in Norway.
Thomas Holmsen and his team are responsible for almost 600 employees during a year, on more than 30 sites around Norway. Most of them are full time employees, but a considerable number are hired from project to project, often based on skills and training rather than formal education. Some of them use a computer every day, other live without a PC onsite when working away from home.
Managing classroom courses and training for this group and making sure everyone received the required training and competency used to be a complex puzzle. The consequences of missing out on just one person could be fatal at worst.
– I was constantly worried about not being compliant with contract demands, internal rules, government regulations and laws. And I spent a lot of time making sure that we were. Gradually, I realized, that something had to be done, Holmsen says.

More partner than product
Holmsen’s background, managing an eLearning- and CMS-solution for a previous employer, made him very much aware of what Lemminkäinen was looking for when inviting eight suppliers to bid for a contract that would cover their needs.
Working on the tarmac at Sola Airport, Stavanger
– From all providers we invited to the bidding we expected basic functionality, like an eLearning Portal with an existing course catalogue, a trustworthy system for managing courses and participants and easy-to-use interface to enable employees to complete the courses feeling empowered and good about themselves. But it is important not to forget the human factor. The mix of experience, product knowledge and personality often represents the difference between a product supplier and a trusted advisor.
– During negotiations we started calling the Mintra Group-team “The Good Girls” – meant as a huge compliment. They were always prepared, they knew Trainingportal and the Competence Management solution like the back of their hand, they very quickly understood our needs – and were able to establish a relation that made us feel reassured.
– In addition, knowing that other third party eLearning-suppliers had chosen Trainingportal as their preferred platform for delivering courses, the choice really was not that hard.
– Last, but not least, Holmsen continues, – we saw early on that the combination of Mintra Group experience and the Competence Management System, would be a power tool in Lemminkäinen’s work when documenting and managing our own competence and knowledge. Working with Mintra Group, we would be able to develop the structure and principles for information maintenance, that will save us time and money when a potential customer, in a bidding process, asks of us to document our employees’ formal background, practical experience, courses taken and “on the job”-training. We need to know what we know. And now we do.
Constructing a safety culture with Mintra Group and Trainingportal
– Even though we had huge expectations after signing the contract, we were well aware that a lot could go wrong. Our first eLearning-project with Mintra Group was an HSE course, mandatory for all employees, and another for our subcontractors. A large group of people, both office workers and onsite personnel, some with digital experience, some without, had to complete this basic training.
– Working with Mintra Group in developing the course was the first success. It was a process between two equal partners, where we both brought valuable knowledge and experience to the table and collaborated to make the best HSE-training possible, tailored to meet our needs and the target group’s abilities.
– In retrospect, it is safe to say that both the course itself and our employees and subcontractors completing it, is the second success in this relationship. I receive a report every evening on how many has completed one or several courses in Trainingportal. So far, 90 percent of those for whom the HSE training is mandatory have completed it.

HANDLING THE COMPLEXITY OF CREW AND COMPETENCE
– The offshore industry have evolved into a complex, global and competence-demanding business. A reliable tool for keeping track of crew and competence is crucial to DOF’s success in maintaining our high standards for HSE, safety and the quality of our services , says Tor Skeie, CEO of DOF Group-owned Marin IT.

DOF Group’s offices at Storebø in Austevoll in Norway is where the adventure that has been called «the ultimate success in fish and ships» began more than 30 years ago. Founded in 1981 with the aim to be a leading participant in the growing North Sea offshore industry, DOF’s business concept was based on a long term strategy to provide a modern fleet of offshore vessels to engage on long-term contract.
Three decades later, DOF operates with offices and vessels all over the world and is part of the LACO-group, which also includes one of the world’s largest seafood companies.
– But although our services have grown more complex, diversified and global, our vison remains the same: To be a world class integrated offshore company and to deliver marine services and subsea solutions responsibly – always balancing risk and opportunities in a sustainable way, Tor Skeie says.
All in one
DOF implemented its first OCS HR-solution in 2004, and Skeie first got to know the solution when he started at Marin IT in 2009, serving all the IT-needs of DOF. The system has since then developed together with the client. – It is safe to say that our relationship with Mintra Group has evolved into a partnership rather than a traditional client-customer relationship, Skeie says.
– It is a demanding task to keep global track of crew and competence, with information that always needs to be up-to-date both onshore and offshore. We therefore need a solution where information, if possible, is entered only once, where changes in crew and operations are available when needed and with the necessary integration, so that for example the hotel management systems that are used onboard runs efficiently.
– It needs to have a variety of functionalities: everything from tracking hours, expenses and salary for crews of different nationalities to the information and data that we hand over to the authorities when entering a new country at sea – plus to provide an overview and planning tool for our crew coordinators when manning the ships, Skeie explains.
A development partnership
– When we expanded our operation in Brazil some years ago we experienced that we had outgrown our local IT-solution. To maintain controlled growth we decided to implement the OCS HR-platform both onshore and offshore. Because of special requirements when reporting numbers to the Brazilian authorities, some adjustments and integrations had to be done. But overall we found that having as many of our companies within the same system as possible, gave us a bird’s eye view of our operations that otherwise would have been hard to obtain, Skeie says.
Together with OCS, now part of Mintra Group, Marine IT, Norskan (in Brazil) and DOF Management have been working together to further develop OCS HR, adding functionality and modelling new processes embedded in the software. The next step is to merge the two databases from Norskan and DOF Management, and organize even more crew- and competence-data in the same system.
– We complement each other as development partners, always finding new ways to work together. In fact, we get on so well that one of my crew started working for Mintra Group after the project was finished. Having a former colleague, who knows our operations inside out, working for a supplier is no disadvantage, Tor Skeie, CEO of DOF-owned Marin IT, smiles.
